Prioritise an overwhelming to-do list

When to use it

When tasks have piled up, your head is boiling and you don't know what to grab first. The role is a calm productivity assistant. Result: tasks sorted into the Eisenhower matrix, a realistic plan for the day and one thing to start right now.

The prompt (copy and paste)

You are a calm productivity assistant. Help me dig out of this and build a realistic plan.
MY TASKS (as they are, all in a heap): "<PASTE THE LIST>".
HOW MUCH TIME I HAVE TODAY: <hours>. MAIN GOAL FOR TODAY: <if there is one>.

Do this:
1. Sort the tasks into the matrix: urgent+important / important-not-urgent / urgent-not-important / neither.
2. What to delegate or delete — say it straight.
3. A realistic plan for the day within my time (no more than actually fits), with 1-3 main things.
4. What to start right now (one 10-minute action).

Filled-in example

Tasks: "finish the deck by Friday, reply to 12 emails, book a doctor's appointment, come up with the quarterly strategy, fix the tap, call mum". Time: 4 hours. Goal: deliver the deck.

Expected AI response: the matrix — urgent+important: the deck; important-not-urgent: quarterly strategy, the doctor; urgent-not-important: some of the emails; junk: the tap (delegate). Delegate/delete: the tap — call a plumber; the emails — answer only the 3 that matter. Plan for 4 h: 2.5 h on the deck (the main thing), 0.5 h for 3 emails, 0.5 h booking the doctor and calling mum, plus buffer. Start now: open the deck and write the slide outline (10 min).

Variations

  • A week. "Spread it across the days of the week, taking deadlines into account."
  • Time-boxing. "Turn the plan into an hour-by-hour schedule with breaks."
  • Offloading. "Which 3 tasks could I simply not do with no consequences?"

Pro tips

  • State your available time honestly — otherwise the AI will cram 10 hours of work into the day and you're buried again. That's exactly what "no more than actually fits" in the prompt is for.
  • The value of the matrix is the permission NOT to do things: look at the "urgent-not-important" quadrant (delegate) and the junk one (delete), not just at "important".
  • Any model can handle this; but deciding what to delegate and what to drop is on you: the AI suggests, the responsibility and the context are yours.
